Planning guide
How far in advance should you book a caterer? The honest answer is "earlier than you think." Good caterers book out months ahead, and in a busy market like Charleston the best dates go first. Booking early gets you your top choice and better pricing; booking late narrows your options and can cost more. Here's a realistic timeline.
For a wedding, book your caterer 9–12 months ahead — sometimes more for peak dates. For a large event like a gala or major corporate function, 4–6 months. For a smaller party, 1–3 months. In Charleston's peak spring and fall season, add a cushion, because popular caterers fill Saturdays first.
| Event type | Book ahead |
|---|---|
| Wedding | 9–12+ months |
| Large event / gala / conference | 4–6 months |
| Private party / shower | 1–3 months |
| Holiday-season event | 3–6 months |
| Corporate lunch / meeting | 2 weeks–2 months |
Catering is capacity-limited: a caterer can only staff so many events on a given day. The most sought-after caterers and the most popular dates — Saturdays, holidays, peak wedding months — book out first. Reserving early means you get your first choice, lock in current pricing, and have time for a tasting and menu planning without pressure.
Charleston's wedding and event calendar peaks in spring (March–May) and fall (September–November), when the weather is ideal. If your event falls in those windows — or on a Saturday — treat the early end of every range above as your deadline, not your target.
Short on time? It's not hopeless. Be flexible on date and menu, consider weekdays or off-peak months, and lead with drop-off or buffet service, which is easier to staff on short notice. Reach out to several caterers at once to find who has availability.
